Absence Rates Budget (Individual) Calculator FAQ
Answers to common questions about individual absence-day budgets, current absence rates, projected rates, and calculator inputs.
This FAQ explains what the calculator measures, how its figures are calculated, and why workplace definitions matter when interpreting an individual absence result.
Using the calculator
Questions about the figures to enter and the results displayed.
What does this calculator estimate?
It estimates the absence days represented by an annual target, the remaining target budget, the current absence rate, and a simple projected year-end rate.
What are annual working days?
They are the individual's scheduled workdays for the full year, using the organisation's chosen method.
What are working days elapsed?
They are the scheduled workdays that have passed so far, not simply calendar days since the start of the year.
What absence days should be entered?
Enter qualifying absence days according to the workplace's own definition and counting approach.
Understanding the calculations
Questions about rates, budgets, and annualisation.
How is the annual absence-day budget found?
Annual working days are multiplied by the target absence rate expressed as a decimal.
How is the current absence rate calculated?
Absence days to date are divided by working days elapsed, then multiplied by 100.
How is the projected annual absence rate calculated?
The calculator assumes the current absence rate continues across the remaining scheduled workdays. Mathematically, that produces the same percentage as the current rate.
Why does the calculator show a fractional number of absence days?
A percentage of annual workdays can produce a fraction. The display is a mathematical target equivalent, not necessarily a rounded workplace allowance.
Interpreting results
Questions about positive, zero, and negative budget figures.
What does a positive remaining absence budget mean?
Recorded absence is below the number of days represented by the full-year target.
What does a negative remaining absence budget mean?
Recorded absence is above the full-year target-day figure.
Can the projected rate change during the year?
Yes. Every new qualifying absence day and every additional scheduled workday changes the calculation.
Is a projected rate a guaranteed final rate?
No. It is a simple run-rate estimate based only on the pattern recorded so far.
Scope and workplace policy
Questions about appropriate use and policy differences.
Does this calculator determine sick pay, leave entitlement, or disciplinary action?
No. It is a general monitoring estimate. Those matters depend on applicable terms, policies, and local rules.
Should holidays be included in working days?
Use the scheduled-workday figure required by the organisation's method. Non-working days and annual leave are often handled separately.
Can absences be counted in half days?
Yes, where the underlying absence records and workplace method use half days or another fractional unit consistently.
Can this be used to compare two individuals?
It can show each person's rate against their own scheduled days, but comparisons should account for consistent definitions and differing work patterns.
How do you calculate an individual absence rate?
Divide qualifying absence days by scheduled working days elapsed and multiply by 100.
