How to Read Your Results

The absence rate is the percentage of scheduled team hours recorded as absence.

The attendance rate is the remaining percentage of scheduled hours not recorded as absence.

Equivalent workdays lost translates absence hours into days based on the daily hours entered.

Compare periods only when the team scope, date range and absence definitions are consistent.

Review both the percentage and total hours, because the same percentage can represent very different amounts of lost time.

Assumptions & Important Notes

  • Each example uses one standard daily-hours figure for all employees.
  • Absence hours exclude any categories not chosen for the reporting measure.
  • Scheduled hours and absence hours refer to the same reporting period.
  • Figures are illustrative estimates rather than performance targets.

Frequently Asked Questions

Can I use the calculator for weekly, monthly or annual absence reporting?

Yes. Enter the working days and absence hours for the period you want to measure, keeping the team scope consistent.

Can this calculator be used for a part-time team?

Yes, where a representative standard daily-hours figure is suitable. For mixed schedules, calculate using detailed scheduled hours where possible.

What does equivalent workdays lost mean?

It is absence hours divided by standard daily hours. It expresses lost time in full-day equivalents, not necessarily the number of individual absence days.

Why are two teams with the same absence hours showing different rates?

Their scheduled hours may differ because of team size, workdays or shift length. The rate adjusts absence hours for planned capacity.
