Absence Rates Salary (Team) Calculator
Estimate your team’s absence rate and the salary cost of employee absences, including an optional cover-cost allowance.
Overview
Use this Absence Rates Salary (Team) Calculator to estimate the proportion of scheduled work time lost to absence and its likely salary-related cost. Enter your team size, average annual salary, working days for the period, total absence days, and any extra cost of covering work.
How it works
The calculator first finds the team’s total scheduled days by multiplying team size by working days per employee. It divides total absence days by that figure to calculate the absence rate. To estimate salary cost, it divides average annual salary by working days per employee, then multiplies the daily salary amount by total absence days. If you enter an additional cover-cost rate, that percentage is added to the salary cost.

- 4Add the team’s total absence days for that same period.

Frequently asked questions
How is team absence rate calculated?
The absence rate is total absence days divided by total scheduled working days, multiplied by 100. Total scheduled days equal team size multiplied by working days per employee.
What should count as an absence day?
Use the absence categories your organisation tracks consistently, such as sickness absence or other paid or unpaid absence. Make sure the absence total and scheduled days use the same period and definitions.
Why does the calculator use average salary?
Using an average annual salary provides a quick team-level estimate. For a more precise result, calculate separate groups with different salary levels and add the results.
Does the estimated cost include temporary staff or overtime?
Only if you enter a percentage under additional cover cost. This is an allowance that can represent direct costs such as temporary cover or overtime.
Does the cost include employer taxes and benefits?
No. The standard result is based on gross salary and any cover allowance you enter. You can increase the cover-cost percentage if you want a broader internal estimate.
What reporting period can I use?
You can use a month, quarter, year, or another period, as long as the working days and total absence days both relate to exactly the same period.
