Individual Absence Rate Calculator Examples
Worked examples showing how individual absence and attendance rates change with different schedules and absence totals.
These examples use absence days divided by scheduled working days for the same period. They show why both the number of days absent and the number of scheduled days matter when interpreting an individual percentage.

How to Read Your Results
The absence rate is the percentage of scheduled working days recorded as absent during the selected period.
The attendance rate is the percentage of scheduled working days remaining after recorded absence is deducted.
Compare results only when the reporting periods and definitions of scheduled days and absence are consistent.
Use decimal entries for part-day absence, such as 0.5 or 1.5 days.
Shorter periods can show sharper percentage movements because each day represents a larger share of the total.
Assumptions & Important Notes
- Each example treats a scheduled day as one equal unit of work time.
- The reported absence and scheduled days refer to the same individual and the same period.
- Non-working days are not included in the scheduled totals.
- Attendance rate is calculated as the remainder after recorded absence days are deducted.

Frequently Asked Questions
Why is a single day absent 20% in a weekly example?
When five days are scheduled, one day is one-fifth of the total. One-fifth expressed as a percentage is 20%.
How should I calculate absence for a part-time employee?
Use the days that person was actually scheduled to work, not a full-time schedule, and enter absence on the same day-equivalent basis.
Can an absence rate be 0%?
Yes. It is 0% when no absence days are recorded for the selected period and scheduled working days are greater than zero.
Can I compare a monthly rate with an annual rate?
You can review both, but they describe different periods. Monthly results usually vary more, so comparisons should use consistent periods where possible.
