Freelance Availability Calculator

Estimate how many billable hours, project slots, and working days you have available based on your schedule, time off, and admin workload.

Your Details

Overview

The Freelance Availability Calculator helps you estimate how much paid client work you can realistically take on. Enter your working days, hours, weeks per year, non-billable time, and average project size to get a clearer view of your freelance capacity.

How it works

The calculator first estimates your total scheduled working time by multiplying your working days per week by your working weeks per year and hours per day. It then removes the percentage of time spent on non-billable tasks such as admin, marketing, and client communication. The remaining hours are treated as billable capacity. That yearly total is then converted into a monthly average, and divided by your average project hours to estimate how many similar projects you may be able to take on each month.

How to use this calculator

Frequently asked questions

What does this calculator estimate?

It estimates how many billable hours and average-sized projects you may realistically be able to take on based on your work schedule and unpaid workload.

What counts as non-billable time?

Non-billable time can include admin, invoicing, proposals, sales calls, marketing, internal meetings, bookkeeping, and other work you do without charging a client.

Why is my project capacity lower than expected?

Many freelancers underestimate how much time is spent on unpaid tasks, revisions, client communication, and context switching. A higher non-billable percentage reduces available client hours.

Should I use working weeks per year or vacation days?

This version uses working weeks per year, so you can subtract holidays, planned breaks, and other time off before entering your number.

Can I use this calculator for retainer work?

Yes. If you work on retainers, enter a realistic average project or client workload in hours to estimate how many similar commitments fit into your month.

How accurate is the result?

It is a practical estimate for planning, not a guaranteed workload limit. Your real capacity may change based on client mix, project complexity, and interruptions.
