Absence Rates Cost (Team) Calculator
Estimate your team's absence rate, lost payroll cost, replacement cost and total annual cost of employee absences.
Overview
This team absence cost calculator estimates the annual impact of employee absences using your team size, combined salaries, average absence days and expected cover costs. It can help you quantify lost working time and create a simple cost estimate for planning purposes.
How it works
The calculator multiplies the average absence days per employee by the team size to estimate total days lost. It calculates the absence rate by dividing average absence days by annual working days. Average daily salary cost is the total annual salary bill divided by total available working days. Lost payroll cost equals days lost multiplied by the average daily salary cost, and the selected replacement-cost percentage is added to produce the total estimated absence cost.

Frequently asked questions
What is an absence rate?
An absence rate is the percentage of available working time lost to employee absence. This calculator estimates it by dividing average absence days by annual working days.
What costs should be included in employee absence?
Common costs include salary paid during absence, overtime, temporary staff, agency fees, outsourced work and reduced output. This calculator uses base salary cost plus a replacement-cost percentage you choose.
How do I calculate total absence days for a team?
Multiply the average absence days per employee by the average number of employees in the team. For example, 20 employees each averaging six days equals 120 absence days.
Should I include employer taxes and benefits in salary costs?
You can include them in the total annual salaries figure if you want a broader employment-cost estimate. Otherwise, the result reflects base salary costs only.
Why might actual absence cost differ from this estimate?
Actual costs depend on pay policies, the reason and duration of absence, workload, cover arrangements, productivity, insurance and employment rules.
Can this calculator be used for monthly absence costs?
The calculator is designed for annual inputs and annual results. You can estimate a monthly figure by dividing the annual cost by 12, but seasonal absence patterns may make this less precise.

Assumptions and warnings
Assumptions
- Results are estimates based on average annual salaries, average absence days and the working days you enter.
- Lost payroll cost uses base salaries only and does not automatically include employer taxes, benefits, pension costs or overheads.
- Replacement cost is estimated as a percentage of lost payroll cost and may vary substantially by role and absence type.
- The calculation treats all absence days as having the same average daily salary cost.
Warnings
- This calculator provides an estimate only and is not financial or employment advice.
- Actual absence costs can differ because of statutory pay, insurance, productivity effects, contractual arrangements and local employment rules.
