Absence Rates Budget (Team) Calculator
Estimate an annual absence-day budget and its expected cost for a team using working days, a target absence rate and average daily employee cost.
Overview
Use this team absence rates budget calculator to estimate how many absence days to allow for over a year and the likely cost. Enter your team size, annual working days, target absence rate, average daily cost and current absence rate to compare actual performance with the budget.
How it works
The calculator first estimates the team’s total available working days by multiplying team size by working days per employee. It then applies the target absence rate to this total to calculate a budgeted number of absence days. Multiplying those days by the average daily cost estimates the absence budget. The same method is applied to the current absence rate, and the difference between the two costs shows whether the current rate is above or below the target budget.
How to use this calculator
- 1Enter the average number of employees in the team.
- 2Add the annual working days expected for each employee.
- 3Set the target annual absence rate for your budget.
- 4Enter an estimated cost for each absence day.
- 5Add the current absence rate and review the cost comparison.

Annual absence-day budget
192.5 days
With 5,500 available working days, a 3.5% target allows for 192.5 absence days and an estimated annual cost of 28,875. A current rate of 4.2% equates to 231 absence days, around 5,775 above the target cost.
Frequently asked questions
What is an absence rate?
An absence rate is the percentage of available working time lost to absence. It is commonly calculated by dividing absence days by available working days and multiplying by 100.
How do I calculate a team absence-day budget?
Multiply the number of employees by annual working days per employee, then multiply the result by the target absence rate as a decimal.
What should be included in average daily absence cost?
You may include salary cost, replacement cover, overtime, temporary staff, administration and estimated lost output. Use a consistent basis when comparing periods.
Should annual leave be included as absence?
Planned annual leave is usually treated separately from unplanned absence. Set working days per employee on a basis that matches your organisation’s reporting method.
Why might the actual cost differ from this estimate?
Daily costs can vary by role, absence duration, timing, replacement needs and productivity effects. Staffing levels and working patterns may also change during the year.

Assumptions and warnings
Assumptions
- The absence rate is calculated as unplanned absence days divided by total available working days.
- Each employee is assumed to have the same number of working days and the same average daily absence cost.
- The daily cost is an estimate and may include only the cost categories you choose to include.
- Results are annual estimates and do not account for seasonal changes in absence or staffing.
Warnings
- This calculator provides planning estimates only and should not be used as the sole basis for employment, staffing or budget decisions.
- Absence definitions and recording practices should be consistent when comparing actual results with the budget.
