Team Absence Rate and Utilisation Formula

Learn how planned team capacity, absence rate and available working-day utilisation are calculated.

This calculator estimates the share of planned team working days lost to absence and the capacity that remains after absence and other non-working time. It helps keep absence measures separate from broader availability measures.

Team Utilisation Rate

Utilisation rate = [max(0, team size × working days per employee − absence days − other non-working days) ÷ total planned team days] × 100

Where:

First calculate all planned working days for the team. Then subtract absence days and other unavailable days. The remaining days, divided by planned days, are the team utilisation rate.

Variables Explained

VariableWhat It MeansUnit
teamSize - Team sizeNumber of employees included in the calculation.employees
workingDaysPerEmployee - Working days per employeePlanned workdays for one employee in the selected period.days
absenceDays - Total absence daysTotal scheduled workdays lost to recorded absence across the team.days
otherNonWorkingDays - Other non-working daysTeam days unavailable for reasons such as training, leave or shutdowns.days
totalPlannedDays - Total planned team daysScheduled team capacity before deductions.days
availableWorkingDays - Available working daysPlanned team capacity remaining after all entered unavailable days are deducted.days

Step-by-Step Calculation

1

Calculate planned team capacity

Multiply the number of employees by planned workdays per employee for the same period.

totalPlannedDays = teamSize * workingDaysPerEmployee

2

Calculate the absence rate

Divide absence days by planned team days and convert the result to a percentage.

absenceRate = (absenceDays / totalPlannedDays) * 100

3

Deduct unavailable time

Remove absence and other non-working days from planned capacity. The minimum is zero.

availableWorkingDays = max(0, totalPlannedDays - absenceDays - otherNonWorkingDays)

4

Calculate utilisation

Express remaining available capacity as a percentage of planned capacity.

utilisationRate = (availableWorkingDays / totalPlannedDays) * 100

Example: 10-person annual team review

Team size10 employees
Working days per employee260 days
Total absence days65 days
Other non-working days0 days
1

Planned team days

10 × 260

2,600 days

2

Absence rate

(65 ÷ 2,600) × 100

2.5%

3

Available working days

max(0, 2,600 − 65 − 0)

2,535 days

4

Utilisation rate

(2,535 ÷ 2,600) × 100

97.5%

Final Result

The team has a 2.5% absence rate, 2,535 available working days and a 97.5% utilisation rate.

Assumptions

  • Every employee is represented by the same planned working-day figure.
  • All values relate to one consistent reporting period, such as a month, quarter or year.
  • Absence days are workdays or equivalent part-days rather than calendar days.
  • Utilisation means available staffing capacity in this calculator, not productivity, billable work or output.

Limitations

  • !The calculation does not account for overtime, temporary cover or redistribution of work.
  • !Different absence recording methods can make comparisons between teams less reliable.
  • !Using an average working-days figure may hide variation between full-time and part-time schedules.
  • !The result cannot show the cause, duration pattern or operational impact of absences.

Common Mistakes to Avoid

1

Using calendar days instead of scheduled working days.

2

Mixing monthly absence figures with annual planned working days.

3

Including annual leave as absence when it should be tracked separately.

4

Entering absence days twice in both absence and other non-working days.

5

Interpreting available-capacity utilisation as a direct measure of employee productivity.

Frequently Asked Questions

What is the formula for team absence rate?

Divide total absence days by total planned team working days, then multiply by 100.

How are total planned team days calculated?

Multiply team size by planned working days per employee for the same period.

Why is utilisation different from absence rate?

Absence rate measures days lost only to absence. Utilisation measures capacity remaining after absence plus any other non-working days entered.

Can utilisation be below 100% when absence is zero?

Yes. Other non-working days, such as training or planned leave, reduce available capacity when included.

Can available working days be negative?

No. The formula uses a minimum of zero if entered unavailable days exceed planned capacity.
