Use this team absence rate and utilisation calculator to estimate how many planned workdays are lost to absence and how much team capacity remains. Enter the team size, planned working days per employee, absence days and any other unavailable time for the same period.

How it works

The calculator first multiplies team size by planned working days per employee to find total planned team days. It divides absence days by that total to calculate the absence rate. It then deducts absence days and any other non-working days from planned capacity. The remaining days, expressed as a percentage of planned capacity, are the team utilisation rate used here.

Absence rate measures capacity lost specifically to absence. Utilisation rate in this calculator measures planned capacity still available after absence and any other non-working days entered.

Should annual leave be included as absence?

Usually no. Annual leave is normally planned time away rather than absence. You can enter it under other non-working days if you want utilisation to reflect it.

Yes. Use figures from one consistent period, such as a month, quarter or year, and enter the planned days per employee for that same period.
