Absence Rates Utilisation (Annual) Calculator

Calculate an annual employee absence rate, attendance utilisation rate, total working days lost and equivalent full-time staff time lost.

Your Details

Overview

Use this annual absence rates utilisation calculator to compare total recorded absence days with the working-day capacity of your workforce. Enter the average employee count, scheduled annual working days per employee and total absence days to estimate absence, attendance utilisation and the equivalent staffing capacity lost.

How it works

The calculator first multiplies the number of employees by annual working days per employee to find total available working days. It divides total absence days by that capacity to calculate the annual absence rate. Attendance utilisation is the remaining percentage of scheduled capacity, while the full-time equivalent figure converts absence days into the number of employee-years of capacity lost.

How to use this calculator

  1. 1Enter the average number of employees covered by the year.
  2. 2Enter the scheduled working days for each employee over the year.
  3. 3Add all recorded absence days for the same group and period.
  4. 4Review the absence rate and remaining attendance utilisation rate.
  5. 5Use the equivalent full-time figure to put days lost into staffing-capacity terms.

Example Calculation

Number of employees

50

Working days per employee per year

260

Total absence days

325

Annual absence rate

2.50%

With 13,000 available working days and 325 absence days, the annual absence rate is 2.50%, attendance utilisation is 97.50%, and the lost capacity equals 1.25 full-time employees for the year.

Frequently asked questions

How is the annual absence rate calculated?

The annual absence rate is total absence days divided by total available working days, multiplied by 100. Total available working days equals employee count multiplied by annual working days per employee.

What is attendance utilisation in this calculator?

Attendance utilisation is the percentage of scheduled working-day capacity that remains after recorded absence days are deducted. It is 100% minus the absence rate.

Should annual leave be included as absence?

Usually no. Planned annual leave is normally treated separately from absence. Use a consistent definition that matches your organisation's reporting policy.

What does equivalent full-time staff lost mean?

It expresses total absence days as the number of full-time employee-years of working capacity lost. For example, 260 absence days with a 260-day work year equals 1.00 FTE.

Can I use this calculator for a department?

Yes. Enter the average employee count, scheduled working days and absence days for that department using the same annual period.

Why might my reported absence rate differ from this result?

Differences can arise from part-time working patterns, leavers and starters, varying work schedules, partial-day absences, and different organisational definitions of reportable absence.
