Absence Rates Utilisation (Annual) Calculator FAQ
Answers to common questions about annual absence rates, attendance utilisation, working days and FTE capacity lost.
This FAQ explains the calculator inputs, results and assumptions so you can use annual absence figures consistently for reporting and planning.
General questions
Basic information about what the calculator measures.
What does this annual absence calculator measure?
It estimates the percentage of scheduled working days lost to absence, remaining attendance utilisation, total scheduled capacity and equivalent FTE capacity lost.
Can I use this for an entire organisation?
Yes, provided all inputs cover the same annual period and the same employee population.
Can I use it for a department or location?
Yes. Use the average headcount, scheduled days and absence total for that defined group.
Inputs and definitions
How to choose the figures used in the calculation.
What employee count should I enter?
Use the average number of employees covered by the reporting year rather than a single snapshot where the workforce changed.
What are working days per employee?
They are the scheduled or contracted working days for one employee during the year, excluding planned non-working days.
Should planned annual leave be included in total absence days?
Usually no. Keep planned leave separate unless your organisation's defined reporting method explicitly includes it.
Can I include half-day absences?
Yes, if your absence records use partial days consistently. Enter the total as a decimal number of days.
Results and formula
How the outputs are calculated and interpreted.
How is the annual absence rate calculated?
Total absence days are divided by total available working days, then multiplied by 100.
What is total available working days?
It is average employee count multiplied by annual scheduled working days per employee.
How is attendance utilisation calculated?
It is the remaining percentage of scheduled working capacity after absence days are deducted.
What does equivalent full-time staff lost mean?
It is total absence days divided by annual working days per employee, expressed as equivalent annual full-time capacity.
Accuracy and comparisons
Factors that can affect comparisons and reported results.
Why may my result differ from another absence report?
Reports can use different workforce averages, work schedules, treatment of partial days, exclusion rules and absence definitions.
Can I compare results from different years?
You can compare them more meaningfully when the workforce scope, working-day basis and absence-recording rules are consistent.
Does a lower absence rate always mean better performance?
The calculation only measures recorded days lost relative to scheduled capacity. It does not explain context, causes or wider workforce conditions.
How is the annual absence rate calculated?
Annual absence rate equals total absence days divided by total available working days, multiplied by 100.
