General questions

Basic definitions and uses of the calculator.

What does this team absence calculator measure?

It estimates the percentage of planned team workdays lost to absence, remaining working days and available-capacity utilisation.

What is a team working day?

It is one scheduled workday for one employee during the selected period.

Can the calculator be used for any reporting period?

Yes. It can be used for a week, month, quarter or year when all inputs use the same period.

Is this a measure of productivity?

No. It estimates staffing capacity available after entered deductions, not output, quality or billable utilisation.

Inputs and classification

How to enter planned days, absences and other unavailable time.

What should be entered as absence days?

Enter total scheduled workdays lost to recorded absence across the team.

Should annual leave be included as absence?

Usually, planned leave is kept separate from absence. It may be entered as other non-working days if you want it reflected in available capacity.

What belongs in other non-working days?

Examples can include training, planned leave, shutdowns or other team time that is unavailable for normal work.

How do I include part-time employees?

Use planned workdays that reflect the team’s actual schedules, either individually before aggregation or through a suitable average.

Formula and results

How the calculator arrives at its outputs.

How is absence rate calculated?

Absence days are divided by total planned team days and multiplied by 100.

How is utilisation rate calculated?

Available working days are divided by total planned team days and multiplied by 100.

Why can absence rate and utilisation rate add to less than 100%?

Other non-working days reduce utilisation but are not included in the absence rate.

What happens if unavailable days exceed planned days?

Available working days are capped at zero, so utilisation cannot be negative.

Accuracy and comparison

How to use estimates responsibly and compare results.

Are results exact?

They are estimates based on the figures entered and the calculator assumptions.

Can I compare different teams?

Yes, if the teams use comparable periods, planned-day definitions and absence-recording methods.

Does replacement cover change the result?

Not directly. The calculator measures planned team capacity after deductions and does not add cover or overtime.

What can cause a misleading trend?

Changes in team size, reporting periods, absence definitions or inclusion of other non-working time can affect comparability.
