It estimates an individual’s available annual workdays, available hours, absence rate and effective capacity after entered non-working days are deducted.
Who can use an individual capacity calculation?
It can be used for general personal, team or workforce planning where an estimate of time availability is needed.
Does this calculator measure employee performance?
No. It measures estimated time availability only, not performance, output, quality or engagement.
Is an absence rate the same as a capacity rate?
No. Absence rate is the unavailable share of scheduled time, while capacity rate is the remaining available share.

How to enter scheduled time and absence days.
What should I enter for scheduled working days?
Enter the number of days the person is normally expected to work during the year before the listed absences are removed.
Should public holidays be entered for every calendar holiday?
Enter only public holidays that fall on the individual’s usual scheduled workdays.
What belongs in other absence days?
Use it for expected non-productive time not captured elsewhere, such as appointments, family leave or internal events.
Can I enter half days?
Yes. Decimal values such as 0.5 can represent a half-day absence or training session.
Should annual leave be counted as absence?
For capacity planning, it is commonly counted because it reduces availability for normal duties. For an unplanned-absence-only measure, it may be excluded.

How the calculator produces each output.
How are total absence days calculated?
The calculator adds annual leave, public holidays, sickness absence, training and other absence days.
How are available working days calculated?
Total absence days are subtracted from scheduled workdays. The result cannot be below zero.
How are available productive hours calculated?
Available working days are multiplied by the entered hours per working day.
How is effective capacity rate calculated?
Available working days are divided by scheduled workdays and multiplied by 100.
Why might my capacity rate be 0%?
It will be 0% when entered absence days equal or exceed scheduled working days.

How accurate is an individual absence capacity estimate?
Its usefulness depends on the quality of the schedule and absence estimates entered. Actual availability can change during the year.
Does the calculator allow for meetings and administration?
Not automatically. Add expected time away from normal duties as other absence days if that is appropriate for your planning method.
Can I use last year’s sickness figure?
A historical figure can be used as a planning input, but it is not a guarantee of future absence.
Can this result be used to set workload targets?
It provides an availability estimate, but workload requirements also depend on task duration, priorities, demand and role complexity.
What is an individual absence rate?
It is the percentage of scheduled workdays unavailable because of the absence and non-working categories included in the calculation.
