How it works

The calculator adds every absence category to find total unavailable days. It subtracts those days from scheduled annual workdays to estimate available working days, then multiplies the result by hours per day. The absence rate is total absence days divided by scheduled workdays, while the effective capacity rate is the remaining available share of scheduled time.

What is an individual absence rate?

It is the percentage of a person's scheduled working time that is unavailable because of absence or other included non-productive days.

Should annual leave be included in the absence rate?

For capacity planning, annual leave is usually included because it reduces time available for normal work. You can exclude it if you only want to track unplanned absence.

How many working days are there in a year?

A typical full-time pattern has about 260 weekdays before leave and public holidays, but the right figure depends on the work schedule, country and calendar year.

Does this calculator measure productivity?

No. It estimates available time. It does not measure output, workload, efficiency, quality, meetings or the complexity of the person's role.

Can I use half-day absences?

Yes. Enter decimal values such as 0.5 where your records include half days or partial-day absences.

Why is my effective capacity rate lower than 100%?

The rate falls whenever leave, public holidays, sickness, training or other entered absences reduce scheduled working time.
