This Absence Rates Workload (Individual) Calculator estimates how much annual working capacity remains after expected absence days. Enter contracted hours, normal working days, working weeks, expected absence, and planned workload to see whether the workload fits within the time likely to be available.
How it works
The calculator first estimates annual scheduled hours from weekly hours and working weeks. It calculates average hours per workday, then converts expected absence days into lost hours. Subtracting those lost hours from scheduled annual hours gives the available workload capacity. The planned workload is then compared with that capacity to show the remaining hours and the percentage of available capacity required.

A person working 37.5 hours over five days has 1,950 scheduled annual hours. Allowing for 15 absence days removes about 113 hours, leaving roughly 1,838 hours of capacity. A 1,600-hour workload therefore leaves about 238 hours available.

What is an individual absence rate?
It is the number of absence days expressed as a percentage of the person's scheduled working days over the period being assessed.
How are absence days converted into hours?
The calculator divides weekly contracted hours by working days per week, then multiplies that average daily hours figure by the expected absence days.
Should annual leave be included as absence?
Usually, annual leave is planned separately from unplanned absence. You can include it only if your workload planning approach treats it as unavailable time and it has not already been removed from working weeks or workload hours.
What does a negative remaining capacity result mean?
A negative result means the planned workload is greater than the estimated capacity available after absences. The size of the negative figure is the estimated hours shortfall.
Why is the available capacity different from contracted annual hours?
Contracted annual hours represent scheduled time before absence. Available capacity deducts the hours estimated to be lost through the absence days entered.
Can this calculator be used for part-time employees?
Yes. Enter the part-time weekly hours, normal working days per week, and the relevant working weeks and absence days for that individual.
