Absence Rates Workload (Annual) Calculator
Estimate the annual workdays, hours and full-time workload lost to employee absence across your organisation.
Overview
Use this annual absence workload calculator to estimate how much employee capacity is lost through absence. Enter your average headcount, scheduled working days, average absence days and normal working pattern to see lost days, hours, absence rate and the equivalent full-time workload.
How it works
The calculator multiplies average headcount by average absence days to estimate total absence days. It divides weekly hours by working days per week to convert those days into lost hours. The absence rate is total absence days divided by all scheduled workforce days. Full-time workload lost is calculated by dividing total absence days by the annual scheduled days for one employee.
How to use this calculator
- 1Enter the average number of employees in the workforce during the year.
- 2Add the scheduled working days for one employee over the year.
- 3Enter the average number of absence days per employee.
- 4Provide normal weekly hours and working days per week.
- 5Review the estimated lost capacity and full-time-equivalent workload.

Frequently asked questions
What is an annual absence rate?
Annual absence rate is the percentage of scheduled work time lost to absence during a year. This calculator measures it using absence days divided by scheduled workdays.
How is absence workload calculated?
It multiplies the average number of employees by average absence days per employee. The result can then be expressed in hours or as a full-time-equivalent workload.
What does full-time-equivalent workload lost mean?
It shows the annual absence workload in terms of one full-time employee's annual scheduled days. It is a capacity measure, rather than a direct recommendation for hiring.
Should annual leave be included as absence?
Usually no. Use absence days that your organisation tracks as unplanned or relevant absence, and keep planned annual leave separate unless your reporting policy treats it as absence.
Why might actual cover needs differ from the result?
Absences may be concentrated in certain periods, teams or roles. Skill requirements, shift patterns, overtime and the availability of temporary cover can also change the practical staffing need.

Assumptions and warnings
Assumptions
- The workforce size and absence level represent annual averages.
- All employees are assumed to have the same scheduled working days and weekly hours.
- Absence days are converted to hours using the stated standard working pattern.
- The full-time-equivalent figure represents workload lost, not necessarily the number of replacement employees required.
- Results are planning estimates and do not account for timing, skills, overtime or temporary-cover efficiency.
Warnings
- This calculator provides a workforce planning estimate only; actual cover requirements depend on when absences occur and the roles affected.
