General annual absence questions

Core definitions used in the calculator.

What is an annual absence workload?

It is the total employee capacity estimated to be lost to the absence categories measured over a year.

What is an annual absence rate?

It is the percentage of scheduled workdays lost to absence during the year.

Does the calculator measure attendance?

It measures the absence share of scheduled workdays. Attendance can be viewed as the remaining scheduled-time share when the same definitions are used.

Inputs and data

How to choose the main calculation inputs.

What should I enter for average employees?

Use average headcount over the reporting year rather than only the opening or closing headcount when the workforce changed.

Should planned annual leave be included?

Usually it is kept separate unless your own reporting definition specifically includes it in the absence measure.

What are working days per employee?

They are the scheduled workdays for one employee over the year before the measured absence is deducted.

What if employees work different weekly hours?

Use a representative average for a broad estimate, or calculate separately for groups with materially different schedules.

Results and formulas

How each output is calculated and interpreted.

How are total absence days calculated?

Average employees are multiplied by average absence days per employee.

How are lost absence hours calculated?

Total absence days are multiplied by weekly hours divided by working days per week.

How is FTE workload lost calculated?

Total absence days are divided by annual working days per employee.

Is average daily staffing gap different from FTE workload lost?

In this annual model they use the same calculation. Both represent average annual full-time capacity lost across scheduled workdays.

Accuracy and planning use

Important context when using an annual estimate.

Does the FTE result tell me how many replacements to hire?

No. It represents workload lost. Actual cover needs depend on timing, role requirements, shift patterns and available cover.

Why might actual cover needs be higher than the estimate?

Absence can cluster in a short period or affect roles that require specific skills, making the practical gap larger than the annual average.

Can I compare results between years?

Yes, if you use consistent absence definitions, data periods and scheduled-workday assumptions.

Does the calculator include absence costs?

No. It estimates time and workload only, not pay, overtime, replacement or productivity costs.
