Absence Rates Workload Calculator
Estimate the workdays and staffing capacity lost to employee absence, plus the cover needed to maintain planned workload.
Overview
Use this Absence Rates Workload Calculator to estimate how employee absence affects planned work capacity. Enter your average workforce, scheduled working days, absence rate, and hours per day to see estimated lost days, available capacity, and the full-time-equivalent cover that may be required.
How it works
The calculator first multiplies the average number of employees by their scheduled working days to find total planned workdays. It applies the absence rate to estimate lost workdays, then subtracts those days from the planned total. Lost days are converted to hours using the hours-per-day figure. The cover requirement is calculated by dividing lost workdays by the scheduled days of one full-time employee in the period.
How to use this calculator
- 1Enter the average number of employees in the team or department.
- 2Add the scheduled working days for each employee in the period.
- 3Enter the expected or recorded absence rate as a percentage.
- 4Set the typical number of working hours in a day.
- 5Review the estimated lost workdays, remaining capacity, and cover requirement.
Example Calculation
Average number of employees
50
Working days per employee
260
Absence rate
5%
Working hours per day
8
Estimated workdays lost
585 days
A team of 50 employees scheduled for 260 days each has 13,000 planned workdays. At a 4.5% absence rate, it is estimated to lose 585 workdays, leaving 12,415 available workdays. This is equivalent to approximately 2.25 FTE of cover over the year.
Frequently asked questions
What is an absence rate?
An absence rate is the percentage of planned work time or scheduled workdays lost because employees are absent. It may include sickness absence and other categories depending on how your organisation records it.
How is the number of lost workdays calculated?
The calculator multiplies total scheduled workdays by the absence rate. For example, 10,000 planned days at a 5% absence rate produces an estimate of 500 lost workdays.
What does FTE cover needed mean?
FTE means full-time equivalent. The cover figure shows the average full-time staffing capacity needed across the period to replace the estimated lost workdays.
Does this calculator include annual leave or public holidays?
No. Enter working days that already reflect the schedule you want to use. If annual leave and public holidays should be excluded, reduce the working-days figure before calculating.
Can I use this calculator for monthly absence planning?
Yes. Enter the average employee count and scheduled working days for the month rather than annual figures. The same method works for weekly, monthly, quarterly, or annual planning.
Why might actual cover needs differ from the estimate?
Absence may be concentrated in certain roles, locations, or shifts, and replacement staff may not be available or equally productive. Skill requirements, overtime, and workload peaks can also affect the actual cover needed.

Assumptions and warnings
Assumptions
- The absence rate applies evenly across the workforce and throughout the selected period.
- Each employee is assumed to have the same number of scheduled working days and hours per day.
- The cover estimate is expressed as full-time-equivalent capacity for the whole period.
- Results are planning estimates and do not account for skill mix, shift patterns, holidays, overtime, or temporary vacancies.
Warnings
- Actual cover requirements can be higher when absences affect essential roles, specialist skills, or particular shifts.
- Use these estimates alongside local staffing plans and operational requirements.
